Job Description

Our client, based between Bristol and Chippenham, is looking for an enthusiastic individual with fantastic organisational skills to work in their Plant Department as an Administrator. This person will be working with their sites and external suppliers so you will need to be able to adapt to different audiences and be comfortable liaising with various onsite operatives.


Role information:

  • Fixed term contract for 1 year but could go Perm for the right person

  • Monday to Friday 7:30am-5:30pm or 8am-5:30pm

  • Start date: ASAP

  • Salary Negotiable


Role involves:

  • To provide and maintain an excellent level of customer service to site when responding to requests for fuel and fuel cards

  • To ensure best price achieved for all fuellings from approved suppliers, ensuring that cost & delivery standards and targets are achieved and to ensure all orders are correctly raised

  • In line with the Plant Office Manager develop and maintain professional relationships with existing and new suppliers in order to enhance the Company’s reputation and secure excellent service at competitive prices

  • To develop product knowledge and the essential skills


Key tasks:

  • To organise and maintain company fuel cards and fobs, ensuring requests are received and actioned on a timely basis. Also sorting any issues that may arise

  • Keep fuel system Triscan up to date. Enter fuellings, new cards and removing leavers, sold vehicles

  • Make amendments on Triscan as needed to ensure details are always up to date

  • Match up receipts to fuel card statements

  • Receive requests from Contract Managers and Site supervisors for fuel to site, promptly raise orders on EVO M system

  • To accurately update the fuel figures for other departments and the Accounts Department

  • In line with the Plant Office Manager’s agreements ensure decisions on supplier choice when placing orders are based upon best rate, combined with best service

  • To ensure all orders raised have accurate records demonstrating correct product code, supplier rate, site, and delivery date

  • To confirm hires and off hires of plant and investigate queries

  • To provide sickness and holiday cover for reception

  • To provide administrative support to Plant Office



  • Good administration skills

  • Good Excel skills

  • Ability to multi-task

  • Has a natural pro-active approach toward their work

  • Can co-ordinate well within a team and work in partnership
